Privacy Policy

1. What this application is

The YAMU Planning Hub (“the App”) is an internal business tool built and operated by Catalyst Consulting LLC (“we,” “us”) for the YAMU Media team. It is not offered as a public service. Access is restricted to authorized YAMU Media team members.

2. Google API access and scopes

The App uses Google OAuth to access the following Google services on behalf of authorized users:

• Google Calendar (read/write) — to read meeting details, attendee information, and event context for planning workflows, and to create or modify calendar entries as needed.
• Gmail (read-only) — to access email threads related to meetings for additional context during transcript analysis.

3. How data is used

Data accessed through Google APIs is used solely to:

• Provide meeting context (attendees, agenda, related emails) for transcript processing
• Generate AI-powered meeting summaries and action items
• Create structured tasks in project management tools (ClickUp)
• Surface scheduling conflicts and follow-up needs

4. AI processing

Google data accessed by this App is processed by Anthropic's Claude AI models through the Anthropic API. This processing occurs to generate meeting summaries, extract action items, and support planning workflows. Specifically:

• Calendar event details and email context are sent to Anthropic's API for analysis alongside meeting transcripts.
• Anthropic's API processes this data according to Anthropic's Privacy Policy. Under Anthropic's API terms, data sent through the API is not used to train AI models.
• No Google user data is stored by the App beyond the active processing session.

5. Data storage and retention

The App processes Google data in-session. Meeting summaries and extracted action items (derived outputs, not raw Google data) may be stored in the App's database and in ClickUp for project management purposes. Raw Google API data (email content, calendar event details) is not persisted after processing.

6. Third-party sharing

We do not sell, rent, or share Google user data. Data is transmitted only to:

• Anthropic (Claude API) — for AI processing as described in Section 4.
• ClickUp — derived outputs (summaries and action items, not raw Google data) are sent to ClickUp for task creation.

No other third parties receive Google user data.

7. Google API Services User Data Policy compliance

This App's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• Data is used only for the purposes described in this policy.
• Data is not transferred to third parties except as described above, and only as necessary to provide user-facing features.
• Data is not used for advertising, market research, or building user profiles.
• No human reads Google user data except with the user's explicit consent, for security purposes, or where required by law.

8. Access control

Access to this App is restricted to authorized YAMU Media team members. Authentication is handled through Google OAuth. The Google OAuth connection is owned by Alex Golimbievsky (Catalyst Consulting LLC).

9. Revoking access

Users may revoke the App's access to Google services at any time by visiting Google Account permissions and removing access for this application.

10. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
